4 in 10 companies have full-time email monitoring staff

employee stealing According to Proffpoint Inc. data security research, more and more companies are increasingly concerned about a growing number of data leaks. This pushes organizations to embrace more drastic preventive measures. Last year survey revealed that 29% of companies hired staff only to monitor outgoing email of colleagues. Now, the number of companies that employ staff whose primary or exclusive job is to monitor the content of outbound email has increased to 38%.

“Draconian measures” some might say, but, if we take a closer look at the reasons they choose to adopt this strategy, we might understand their concern. By investigating the exposure of confidential, sensitive or private information via email, blogs, multimedia channels and social networks, the end result was generally very bad news. Coping with Employees who Resent Being Monitored

42-15509988Employee monitoring is an important tool for many businesses. It allows business owners to make sure that the productivity in the office remains high. It keeps employees on track with their tasks and moves the company closer to meeting all goals. It provides insight into different problems in the office and allows for those problems to be corrected. The only drawback is that employees sometimes resent being monitored which can counteract all of the great benefits of using an employee monitoring system.

The good news is that employers actually have a lot of control over whether or not the employee monitoring is a positive thing. Employers who deal appropriately with employees who resent being monitored will be able to turn their mood around and make the monitoring a positive experience for everyone involved. This is done through discussing the goals of employee monitoring, soliciting employee feedback and working with a praise-based system.

Discuss the Goals of Employee Monitoring

The first thing that all employers should do to deal with disgruntled employees is to open up the doors of communication. Hold a staff meeting to discuss the reasons for employee monitoring. Focus on the goals of monitoring. These goals should include identifying problem areas in the office and assessing the usefulness of various technology and processes in the office. Note that “checking up on employees” is not on the list of goals. Continue reading ‘Coping with Employees who Resent Being Monitored’

How Employee Monitoring Can Boost Employee Morale

happy-employeesMany businesses know that monitoring their employees can offer a number of benefits to the company and yet they are hesitant to do it because of fears that employee monitoring will upset employees. There is certainly the risk of this when employee monitoring is done incorrectly. However, it is actually possible to use employee monitoring to boost employee morale. This allows the business to thrive not only because of the increased productivity that employee monitoring creates but also because improved morale around the office will naturally improve the company’s bottom line.

The main reason that employees don’t handle it well when new monitoring solutions are instituted is because they feel that they are being watched like children instead of being trusted to simply do their work. They resent this Continue reading ‘How Employee Monitoring Can Boost Employee Morale’

Why You Should Block Certain File Downloads at Work

downloadBusinesses that use internet filtering software typically have the option of blocking certain file extensions from being downloaded. This is a smart move for businesses to make because it serves to protect the company’s computers from harm. Employees are often prone to downloading files that may be unsafe because of the fact that the computer isn’t their personal computer and so they don’t give much consideration to the threat that such downloads may cause. The potential threats include computer viruses, compromised security and websites that are not appropriate for work.

A main reason that you may want to block certain file downloads is because of the number of viruses that are put on employee computers when they download things that they weren’t supposed to download. Repairing these computers to get rid of the virus can be expensive whether the repairs are done in-house (and cost the time of your tech team) or out of the office (and cost a lot of money). By blocking downloads of file extensions that commonly have viruses, you can limit the amount of trouble that you have on your computers.

An even bigger concern that businesses may have is the threat of a security breach on the computers. Continue reading ‘Why You Should Block Certain File Downloads at Work’

Why It’s Necessary to Monitor Your Company’s Printers

office-printerEverybody that you know is trying to reduce their spending these days and that includes all of your employees. The bad news for anyone who owns a business is that your employees may be reducing their own spending at a cost to you. Many of them avoid spending money at home by utilizing the resources of the businesses where they work. This means that they’re using your money to do their personal activities. A very common example of this is the use of business printers for personal printing. If you want to make sure that your own profits aren’t going directly into the savings accounts of your employees then you might want to start implementing printer monitoring practices in your office.

The problem right now is that a lot of employees are willing to take the risk on printing in the office. They feel like it saves them a lot of money since they don’t have to replace their own ink and paper at home. They also feel like it’s a low-risk type of theft since most businesses don’t monitor printer usage. They essentially think that Continue reading ‘Why It’s Necessary to Monitor Your Company’s Printers’

Is Overtime Justified?

According to Business Week, companies pay out more than $1 billion per year to settle “wage and hour” lawsuits—typically violations of overtime. Of course, from the point of view of the employee every hour spent over working time should be rewarded. But is this overtime justified? Is the employee productive during overtime?

One of the reports we have implemented in Cyclope, our productivity tool, shows exactly how much time an employee has spent at the office over working hours during a period of time (a day, a week, a month, etc) and what were the applications the employee has used during this time.

Below  you can see screeshots of the “Overtime Report”. Click on them to take a detailed look of the report from the online demo.

Spying stuff or employee monitoring?

Unfortunately the common language does not make the difference between employee spying and employee monitoring activity. And without a solid mental construction, people very easily confuse these terms. One reason why the confusion appears is because these two activities can be obtained with the same tool. But there are different approaches when employers are being spied with a spy cam in their intimacy, or when are spied at bank’ cash. As you can see, the difference between these two activities is the limit to which they are processed. Continue reading ‘Spying stuff or employee monitoring?’
