Everybody that you know is trying to reduce their spending these days and that includes all of your employees. The bad news for anyone who owns a business is that your employees may be reducing their own spending at a cost to you. Many of them avoid spending money at home by utilizing the resources of the businesses where they work. This means that they’re using your money to do their personal activities. A very common example of this is the use of business printers for personal printing. If you want to make sure that your own profits aren’t going directly into the savings accounts of your employees then you might want to start implementing printer monitoring practices in your office.
The problem right now is that a lot of employees are willing to take the risk on printing in the office. They feel like it saves them a lot of money since they don’t have to replace their own ink and paper at home. They also feel like it’s a low-risk type of theft since most businesses don’t monitor printer usage. They essentially think that it’s no big deal to steal this stuff from your business. That’s due in part to the fact that some employers don’t realize what this is costing them so they treat it like “no big deal”.
Excessive unnecessary use of business printers for personal employee printing results in multiple losses for your business. These losses include:
• Cost of supplies. The immediate cost that you’ll incur is the cost to replace the paper and computer ink used by employees.
• Cost of wear-and-tear on the printer. The more that a printer is used, the sooner it is going to need to be replaced. You probably invested a pretty penny in your printers so you want them to last as long as possible.
• The cost to pay employees to waste their time. Employees who do personal printing during business hours are getting paid to do work that isn’t profiting the business.
As you can see, there is the potential for businesses to lose quite a lot of money over time if employees are allowed to use business computers for printing their own documents.
As an employer, you may be thinking that this isn’t a big problem even though you can see the potential cost. Small businesses often believe that the minor costs associated with this threat aren’t worth the cost of investing in printer monitoring. However, the problem is really one that can grow over time. If employees are successful in stealing printer usage then their confidence may grow and they may begin stealing other resources from the company as well. By choosing to monitor in-house printing for your business, you not only save yourself money on printing costs but you may also nip future employee theft problems in the bud.
